Position Summary:
The Accounts Payable Specialist I will perform accounts payable function to include payment of Bank and Bank Holding Company bills verifying proper approval. Generate checks and ACH files for vendor payments. Allocate bills to appropriate centers using appropriate allocation methods including prepaid amortization.
Essential Duties and Responsibilities

Review accounts payable invoices and personal expense reimbursement reports for proper approvals prior to payment. Add new vendors as needed to AP system.

Determine proper expense allocations of invoices. Set up allocation systems and prepaid function to record expenses in the appropriate centers.

Input invoices into accounts payable system and print checks and generate ACH files.

Pay and expense Personal Expense Reports appropriately.

Monitor vendor files to ensure we have proper tax identification numbers for 1099 processing; Obtain W-9s from new vendors.

Balance critical general ledger accounts daily by 10 am.

Process CDARS entries daily, weekly settlements, balance weekly and download monthly reports.

Generate general ledger entries for the weekly supply reallocation.

Maintain the department office supply inventory and order supplies as needed.

Balance intercompany accounts and prepare invoices for affiliates.

Prepare monthly invoices and maintain Accounts Receivable accounts.

Other duties as assigned.
Qualifications:
Education
-
High school diploma or equivalent.
Experience
-
Six (6) months of related office work, may be substituted with related education.

Related military education/experience may be used as a substitute for education or work experience.
In addition to the above requirement, this position requires:

Understand balancing concepts and the effects of debits and credits.

Perform moderately complex accounting functions.

Work under general supervision and change priorities as the project or work situation requires.

Strong knowledge of MS Office Suite, including Word, Excel, PowerPoint, and Outlook. Ability to operate standard office equipment such as PC, printer, fax/copier, and telephone.
